Privacy Policy

Plain-English summary. Poros collects the minimum information needed to run the billing and payment service. We do not sell your data. Payment details are handled by Stripe, not by us. You can ask us to export or delete your data anytime. Full details below.

1. Who We Are

Poros is operated by Springrock Ventures LLC ("Springrock", "we", "us"). This Privacy Policy explains what information we collect from users of the Service, how we use it, and the choices you have. By using Poros, you agree to the practices described here.

2. Information We Collect

We collect three categories of information:

a. Information you provide

  • Account information: name, email address, password (stored as a one-way hash), and the HOA you belong to.
  • HOA information: name, billing configuration, contact email, addresses of units, and resident contact information that HOA administrators enter.
  • Billing data: meter readings, dues amounts, due dates, and notes related to bills you create or pay.
  • Communications: messages you send us by email.

b. Information collected automatically

  • Usage data: pages you visit, actions you take (logging in, paying a bill, sending a reminder), and timestamps.
  • Device and connection data: IP address, browser type, operating system, and similar technical information.
  • Cookies: we use a session cookie to keep you logged in. We do not use third-party advertising or tracking cookies.

c. Information processed by Stripe

Payment details (bank account numbers, card numbers, identity verification documents) are collected and processed directly by Stripe, Inc., not by Poros. We never see or store full payment card numbers, bank account numbers, or social security numbers. We receive only non-sensitive identifiers from Stripe (account IDs, transaction IDs, payment status) so we can show you the right information in the app and reconcile bills.

Stripe's handling of your information is governed by Stripe's Privacy Policy.

3. How We Use Your Information

  • To operate and maintain the Service (authenticate users, send bills, process payment notifications);
  • To communicate with you about your account, including billing reminders, security notices, and product updates;
  • To investigate and prevent fraud, abuse, or violations of our Terms;
  • To improve the Service and develop new features (using aggregate, de-identified usage patterns);
  • To comply with legal obligations.

We do not sell or rent your personal information to anyone. We do not use your information for advertising or share it with advertising networks.

4. Who We Share Information With

We share information only with the following categories of service providers, each of which has agreed to handle data securely:

  • Stripe — payment processing.
  • Resend — transactional email delivery (bill notifications, reminders, password resets).
  • Cloud infrastructure providers — hosting our servers and databases. Data is encrypted in transit and at rest.
  • Legal compliance — we may disclose information if required by law, court order, or to protect the rights, property, or safety of Springrock, users, or others.

Within an HOA, we share information among that HOA's administrators and residents as necessary for billing (for example, a resident sees their own bills; administrators see all residents' bills for their HOA). We do not share an HOA's data with any other HOA.

5. How We Secure Your Information

We use industry-standard safeguards including TLS encryption for all traffic between your browser and our servers, encrypted storage of credentials, scoped database access, and audit logging of administrative actions. No system is perfectly secure; we cannot guarantee absolute security, but we work to minimize risk and respond quickly to incidents.

If we ever experience a data breach that affects you, we will notify you as required by applicable law.

6. How Long We Keep Information

We retain account and billing data for as long as your HOA uses the Service plus a reasonable period afterward (typically seven years) to comply with tax and accounting recordkeeping obligations. You may request earlier deletion of personally identifying information about you by emailing hello@poroshq.com, subject to our legal obligations to retain certain records.

7. Your Choices and Rights

You can:

  • Access the information we hold about you by logging in or by emailing us;
  • Correct inaccurate information by updating it in your account or by asking us;
  • Export a copy of your data by emailing us;
  • Delete your account and associated personal information (subject to retention obligations described above);
  • Opt out of non-essential communications. (Transactional emails such as bill notifications and security notices cannot be opted out of while you have an active account.)

California residents: the California Consumer Privacy Act ("CCPA") gives you rights to know what personal information we collect, request deletion, and not be discriminated against for exercising your rights. We do not sell personal information. Email hello@poroshq.com to exercise these rights.

8. Children's Privacy

The Service is intended for adults managing or paying for HOA dues. We do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, email hello@poroshq.com and we will delete it.

9. International Users

Poros is operated from and intended for use within the United States. By using the Service, you consent to the transfer and processing of your information in the United States. We do not currently support international users or processing.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the revised version with an updated "Last updated" date and, for material changes, notify you by email at least thirty (30) days before the change takes effect.
